Business Support Assistant (Helpdesk)

40 hours per week on a 3 week shift pattern to include a daily unpaid 30 minute break.

£26,640 (£12.81 per hour)

Purpose of the Role

Reporting to the Health, Safety & Compliance Duty Manager, the Business Support Assistant will be vital to support the delivery of reactive and planned maintenance and maintain centre compliance reporting across the centre. As a customer facing role you will need to communicate to customers and colleagues via the telephone, e-mail and radio when required.

Working closely with our Technical Services team, you willl manage the logging of information and tasks on Concept from inception to completion within required timescales, highlighting any tasks that have gone overdue and providing reports on a timely basis.

You will be a key point of contact for contractors wishing to carry out works at Metrocentre, carrying out initial document reviews on all permit to work applications using Contractor Tracker before sending them on for final approval or highlighting any concerns with the contractor.

You will track audit tasks across the business including external compliance audits, internal fire safety audits and health and safety paperwork.

Key Responsibilities

This role will involve a variety of tasks including:

  • Provide input, monitoring and reporting on the technical business systems used across Metrocentre: Over-C, Concept, Contractor Tracker, Data Station etc.
  • Assigning Planned Preventative Maintenance (PPM) within Centre Service Level Agreement (SLA’s) timeframes to sub-contractors and internal resources.
  • Managing internal reactive maintenance tasks using Over-C and Concept, allocating them to internal teams and following them through to completion.
  • Review and monitor the centre’s Contractor Management system ‘Contractor Tracker’ to ensure site rules are achieved by all contractors working in the centre. This will be achieved by ensuring the correct PLI, associated risk assessments, method statements and training documentation is suitable and relevant for all contractor permits received.
  • Being the key point of contact for any contractor wishing to use the Contractor Tracker system to gain access to Metrocentre.
  • Communicating to internal and external customers via e-mails, telephone and radio systems.
  • Developing close working relationships with stakeholders (internal & external) to fully understand relevant aspects of the business to ensure a smooth & seamless service.
  • Producing reports to on a timely basis to highlight key compliance progress.
  • Proactively monitoring & communicating with stakeholders (internal & external) to ensure task completion by the required dates to achieve Centre agreed SLA’s.
  • Upload evidential documents to allow the closure of statutory compliance tasks.
  • Provide support to the Health & Safety team with correspondence, reporting and data input.
  • Provide World Class Service in all aspects of the role, delivering an exceptional level of customer service with clear communication
  • Any other duties that may reasonably be required from time-to-time.

Skills, Knowledge and Experience

Essential:

  • Excellent Customer Service skills, with previous experience of dealing with customers via the telephone and via email,
  • Polite, professional, articulate, outgoing and a confident communicator (both written and verbal)
  • A high level of interpersonal skills and a willingness to work as part of the team
  • Ability to prioritise workload and meet the daily demands of the department working either alone or as part of the team
  • Computer literate in Microsoft Office applications, Excel, Word & Outlook
  • Adaptable and flexible whilst working in a fast paced, dynamic, multi skilled office environment
  • Excellent attention to detail and presentation
  • Understanding the need for confidentiality when dealing with company information

Desirable:

  • IOSH Managing Safely qualification
  • Previous experience of working in a deadline driven Helpdesk environment and/or a Technical Administrative environment
  • Experience of working with technical business systems such as Concept.
  • Previous experience of handling work permit requests.
